Purpose: This article explains how to configure and manage absence reasons and resource booking reasons in Administrate.
These reason categories support scheduling workflows, operational visibility, utilization reporting, and conflict management across instructors, personnel, and resources.

Overview
The Calendar Management screen allows you to define Reasons for staff absences and resource bookings.
Selecting a reason when creating an absence or booking supports structured reporting and clearer visibility into how instructors, personnel, and resources are utilized.
Use the Details field alongside a reason to capture additional free-form notes when needed.
Absence and booking reasons work alongside Staff Absences, Personnel scheduling, and Availability Calendar workflows to improve operational visibility and reporting.
Staff Absence Reasons
On the Staff Absence Reasons tab, you can manage the categories of absences you want to track.
These reasons are selected when recording staff or instructor absences and allow you to report on availability and absence patterns across your personnel base.
For example, you might track Illness separately from Vacation to enable more meaningful aggregate reporting.
Resource Booking Reasons
On the Resource Booking Reasons tab, you can manage the categories of resource bookings you want to track.
These reasons are applied when booking resources, such as rooms or equipment, and help you understand how resources are being used across your organization.
For example, you may wish to differentiate between resources used for standard classroom training and those used for special events to support utilization reporting.
