Calendar
The Administrate calendar is a great way to visualize your organization’s events, appointments, resources, marketing activities, and staff holidays. Access the calendar via the top menu bar - you can choose to jump directly into a specific view, or see everything at once.
Click on the calendar items you’re interested in to see more detailed information. You can click on a specific day to create new calendar items. To jump to a specific day, month, or year, click on the mini calendar on the lower left.
Filtering
You can constrain the view of your calendar using the filtering options on the top of every entity, except for the “All” view.
Full screen Mode
If you’d like to run the calendar on a kiosk or on a large display, you can use our full screen mode.
Subscriptions
You can subscribe to the Administrate calendar on your mobile device or desktop application via our iCal subscription feature. Subscriptions will update with any changes made to the items within the feed. For example, if you’re subscribed to a view that includes a training session and the time is changed, your calendar will update to reflect this change on your device, just like it does on Administrate. Calendar subscriptions are read-only and cannot be altered or edited from any application other than Administrate itself.
Inactive events, i.e., which occurred in the past and ended, are not included in our calendar feeds for performance and stability reasons.
Subscriptions for events will be displayed in the timezone set for the event’s company (each event has a region, which belongs to a company).
If you’re operating events across multiple companies in different time zones, we would recommend that you set up multiple feeds for each company. This way, individual feeds can be color-coded within your calendar application to highlight the different time zones.
Note: The calendar subscription feed only supports the time zone specified on your company page unless you've joined our early adopter program for the time zone feature.
Setting Up a Feed
For older calendar subscriptions, those with URLs ending in a number, you’ll need an Administrate user account and password to access your calendar from another device.
For newer calendar subscriptions, which end with a long string of letters and numbers, a username and password is not required. Please note that Google Calendar will only accept these subscriptions, subscriptions ending with a number will need to be re-generated.
To set up a Feed:
- Choose the calendar view you want to subscribe to - you can do this by using the Filters at the top of each entity (Note that the “All” view does not support filtering).
- Once you have the view you’re happy with, click on the “Subscribe” button and make note of the subscription URL.
- Follow the below instructions for your device / application of choice.
iOS
- Go to Settings.
- Click on “Mail, Contacts, Calendars”.
- Click “Add Account”.
- Click “Other”.
- Click “Add Subscribed Calendar”.
- Enter the Subscription URL.
- Enter your Administrate username and password if required.
- Your calendar will update shortly.
macOS
- Open Calendar.
- On your menu, Click on File → New Calendar Subscription.
- Enter the subscription URL.
- Enter your Administrate username and password if required.
- Configure colors and other settings as desired.
- Your calendar will update shortly.
Microsoft Outlook
- Open Outlook.
- Click on Calendar.
- Right Click “My Calendars”.
- Click “Add Calendar”.
- Click “From Internet”.
- Enter the subscription URL.
- Enter your Administrate username and password if required.
- Your calendar will update shortly.
Google Calendar
- Open Google Calendar.
- Click the small arrow next to "Other Calendars".
- Select "Add by URL".
- Enter the subscription URL.
- Your calendar will update shortly.
