The Administrate calendar helps you visualize events, appointments, resources, marketing activities, and staff holidays. Access the calendar from the top menu bar and choose a specific view, or select a combined view to see everything at once.
Click a calendar item to view more details. Click a specific day to create a new item. To jump to a particular date, use the mini calendar in the lower-left corner.

Filtering
Use the filtering options at the top of each entity view to narrow what’s displayed. The All view does not support filtering.
Full Screen Mode
To display the calendar on a kiosk or large screen, enable full screen mode.
Subscribe to a Calendar
You can subscribe to Administrate calendar views using an iCal feed on your desktop or mobile device. Subscriptions automatically update when changes are made in Administrate. For example, if an event time changes, your subscribed calendar updates accordingly.
Calendar subscriptions are read-only. You can’t edit subscribed events outside of Administrate.
Past inactive events are not included in calendar feeds for performance and stability reasons.
Event subscriptions display in the time zone set for the event’s company. If you operate across multiple companies in different time zones, create separate feeds for each company. This allows you to color-code feeds in your calendar application.
Note: Calendar feeds use the time zone specified on the company record, unless your instance is using enhanced timezone behavior through the timezone early adopter program.
Set Up a Feed
Older subscription URLs ending in a number require an Administrate username and password.
Newer subscription URLs ending in a long string of letters and numbers do not require login credentials. Google Calendar only supports these newer-style feeds. Older feeds must be regenerated.
To set up a feed:
- Choose the calendar view you want to subscribe to using the filters at the top of the page. The All view does not support filtering.
- Click Subscribe and copy the subscription URL.
- Follow the instructions below for your device or application.
iOS
- Go to Settings.
- Select Mail → Accounts.
- Tap Add Account.
- Select Other.
- Tap Add Subscribed Calendar.
- Enter the subscription URL.
- Enter your Administrate username and password if prompted.
- The calendar will sync automatically.
macOS
- Open Calendar.
- From the menu, select File → New Calendar Subscription.
- Enter the subscription URL.
- Enter your Administrate username and password if prompted.
- Configure color and other settings as needed.
- The calendar will sync automatically.
Microsoft Outlook (Windows)
- Open Outlook.
- Go to Calendar.
- Right-click My Calendars.
- Select Add Calendar.
- Choose From Internet.
- Enter the subscription URL.
- Enter your Administrate username and password if prompted.
- The calendar will sync automatically.
Google Calendar
- Open Google Calendar.
- Click the arrow next to Other calendars.
- Select Add by URL.
- Enter the subscription URL.
- The calendar will sync automatically.
