What is GoToTraining?
GoToTraining is a virtual classroom platform used for remote instructor-led training (VILT). It enables instructors and learners to interact in real time and supports features such as breakout rooms, polls, and large-scale attendee management.
What is the GoToTraining integration?
The GoToTraining integration uses Administrate’s Add-ons framework. From within an event, administrators can click a button to push event details, sessions, and learner registrations to GoToTraining.
This integration automates the creation of GoToTraining events, sessions, and learner registrations using data already stored in Administrate.
Set up
GoToTraining configuration
- You must have a GoToTraining account with Administrator privileges.
- If your organization uses multiple GoToTraining organizer accounts, enable Co-Organizers:
- Go to Admin Center.
- Select Admin Settings from the left menu.
- Click Edit under Content Sharing.
- Select Enabled.
- Click Save.
Administrate TMS configuration
Contact Support to enable the GoToTraining integration. You will need to provide:
- GoToTraining administrator credentials
- Administrate API credentials
The GoToTraining account used during setup becomes the primary Organizer for all scheduled trainings. Additional instructors or administrators with matching GoToTraining accounts are added as Co-Organizers.
Once enabled, you’ll see a Sync with GoToTraining button under the Add-ons menu on the event screen.
Using the integration
Basic workflow
- Create your event. If you want additional Co-Organizers, assign instructors or administrators whose email addresses match their GoToTraining usernames.
- Click Sync with GoToTraining. A GoToTraining event is created automatically, including sessions that match your Administrate session dates.
- Matching personnel are added as Co-Organizers.
- The Organizer URL and passcode appear in the event’s external notes field.
- Register students in Administrate.
- Click Sync with GoToTraining again to add newly registered students. Each student receives a unique GoToTraining URL stored in their notes field. These URLs can be used in communication triggers.
- Deliver the course. Instructors and learners log into GoToTraining at the scheduled time.
- If event details change (dates, title, instructors, students), click Sync with GoToTraining again to update both systems.
FAQs
What should I check if I encounter an error when syncing?

Co-Organizer setting
- Ensure Co-Organizers are enabled in GoToTraining (see setup steps above).

Instructors / administrators
- At least one instructor or administrator must be assigned to the event.
- Their email address in Administrate must match their GoToTraining username.
- Any matching contacts with GoToTraining access will be added as Co-Organizers.

Event sessions
- The event must include at least one session.
- The event cannot exceed 25 sessions (GoToTraining’s limit).
- Only Classroom and Blended events are supported. Self-Paced (LMS) events are not supported.

Event dates
- If syncing for the first time, the event start date must be in the future.
- GoToTraining does not allow scheduling more than one year in advance (based on the end date).

Number of students
- Ensure the number of registered students does not exceed your GoToTraining class size limit.

Student contact details
- All students must have valid email addresses.
All my training times are in GMT. Can I change the time zone?
Yes. If Administrate’s time zone functionality is not enabled, the integration defaults to GMT. Contact Support to enable time zone support. When enabled, session time zones in Administrate are sent to GoToTraining as part of the schedule.
