Note: This feature replaces both the Instructor Holiday and Staff Holiday legacy features
Overview
Whether it is an instructor, staff, company wide holidays or just managing different types of leave, our Staff Absences feature has you covered. Let's take a look at the different options available to you:
To trial this feature out you can add /ux/staff_absences to the end of your instance url (e.g. https://www.myinstance.administrateapp.com/ux/staff_absences) then ask our Support Team to disable the old holiday menu links and enable this feature in your menu.
Permissions
The first thing to be aware of is setting the right permissions on the right User Roles.
Holidays - Edit - A user can edit all holidays
Holidays - View - A user can view all holidays in the menu, but can't edit any
Own Holidays - Edit - A user can only see their own holidays.They are able to add their own holidays
You can have a combination of the above permissions.
Let's assume you have all permissions checked:
Instructors & Staff
By setting your instructors and staff holidays in the platform, you will avoid conflicts and be able to schedule training more efficiently.
You are able to integrate with our APIs and your HR system so this can be set automatically.
By setting the Instructor or Staff flag on a Contact record, you will then be able to set absences for them.
Any Super User can add different Instructor absence reasons in the Calendar Management page in the Control Panel.
Once you've added in the details of the absence, it will now appear in your calendar. It will also show any conflict if you try to schedule that person onto an event.
Company Wide
The only difference between the Instructor/Staff and the Company-Wide holidays, is that you don't choose a specific contact to put the holiday against. Instead it will appear on all calendars and show as a conflict when adding instructors to an event.
We would also advise to set up your Outlook Calendar Integration so if you don't have access to external trainers calendar's, you can still see potential conflicts.
