Purpose: This article explains what to do when a learner fails an Event or misses sessions, and how retakes affect Learning Path progress and achievements.
This article covers:
- A learner fails an Event that is an objective in a Learning Path
- A learner misses some sessions of a multi-session Event
A learner fails an Event inside a Learning Path
A typical case: a Learning Path has an online objective and a classroom objective. The learner passes the online component but fails the classroom Event, and needs to take a different run of the same course.
The important behavior: passing any Event of the same course completes the course objective. Administrate matches results to Learning Path objectives by course and learner, not by the specific Event that was originally selected, so nothing needs to be re-linked by hand. This applies to Course objectives; an Event objective is tied to its one specific Event by design. There are two ways to get the learner onto the new Event, and both keep the Learning Path connected:
Option 1: transfer the learner to another Event
A transfer cancels the learner's place on the original Event and creates a fresh registration on the new one. Notes are written on both records linking them ("Transferred to" and "Transferred from"), the transfer can raise a new invoice and credit the original one where you charge for retakes, and the Learning Path's objectives follow the learner to the new Event automatically. Attendance and results start fresh on the new Event.
Choose a transfer when the new Event replaces the old participation and you want the billing handled in the same step.
Option 2: register the learner on another Event of the same course
You can instead leave the failed registration in place and register the learner on another Event of the same course. The Learning Path recognizes registrations for the same course automatically, and when the learner passes the new Event, the course objective completes on its own.
Choose a fresh registration when the first attempt should stay on record as attended-but-failed, for example for compliance or attendance history.
With either option, once every objective in the path is complete, the Learning Path's own achievement is awarded as normal; see Achievements.
A learner misses sessions of a multi-session Event
For classroom Events, automatic passing works like this:
- Attendance must be recorded for every session before the Event can auto-pass anyone.
- The Event's allowed missed sessions setting decides how many absences a learner can have and still pass automatically. The default is zero: attend everything.
- Sessions do not have individual required or optional flags; every session counts the same, and the allowance is a single number for the whole Event.
See Recording Attendance for an Event for the recording workflow.
When the learner needs to catch up on another Event
Administrate counts attendance within a single Event registration only. Sessions attended on one Event are never combined with sessions attended on another, so a learner who attended 2 of 3 sessions on Event A and the remaining session on Event B will not auto-pass either Event.
The supported process is manual:
- Register or transfer the learner onto an Event that runs the session they missed. If the Event is full, you can raise its maximum number of learners for the exception (see capacity settings).
- Tell the learner which session to attend; they are registered on the whole Event, so be explicit that only the missed session is needed.
- Record their attendance on the session they attend.
- When they have covered all sessions across the Events, manually record a Pass on the Event that should hold the result. A manually recorded result does not check attendance, and it awards the Event's achievements and updates Learning Path progress exactly like an automatic pass.
- Add a note to the learner's record stating where the remaining sessions were completed, so the history is clear later.
Note
The learner's attendance history stays split across the Events involved; the manual pass and the note are what tie the story together. Recording the pass on the original Event keeps the achievement and result with the registration that represents most of their participation.
