Purpose: Use this article to review and manage the Outline tab on an Event.
The Outline tab defines the delivery structure of a specific Event. It contains the sessions, schedule, instructors, resources, and supporting materials that describe how the training will actually be delivered.

Where the Outline comes from
Most Events inherit their initial delivery structure from the Course Template. The template defines the standard sessions and delivery pattern for the course.
When an Event is created, this structure is copied into the Event. From there, the Outline can be reviewed and adjusted to reflect the real delivery schedule.
Common adjustments include:
- updating session dates and start times
- adjusting session order or duration
- assigning instructors or delivery staff
- attaching session-specific documents or resources
When to edit the Outline
Administrators typically review or adjust the Outline:
- during Event setup after the Event is created
- when scheduling session dates and times
- when confirming the final delivery plan
- if the delivery schedule changes
Most schedule-related configuration happens here rather than in the Setup tab.
Editing sessions
Each Event session represents a scheduled block of training delivery. Sessions normally correspond to course modules, training days, or other delivery units.
Within the Outline tab you can:
- review the session sequence
- edit session dates and times
- assign instructors or facilitators
- attach session-level documents
Note
Changes made in the Outline tab apply only to the current Event. If the session structure should change for all future deliveries, update the Course Template instead.
Resource requirements in the Outline
If Resource Requirements are defined on the Course Template, they are evaluated within the Event Outline.
When requirements are not fully met, the Outline displays a Resource Requirements table showing:
- resource type
- required quantity
- booked quantity
This helps administrators identify missing resources while planning the Event.
Once all requirements are fulfilled, the table may be hidden automatically.
Resource Requirements do not prevent Events from being scheduled, but they act as a planning guide to ensure the correct resources are allocated.

Typical schedule planning workflow
- Create the Event from a Course Template.
- Open the Outline tab.
- Review the sessions inherited from the template.
- Confirm or adjust session dates and times.
- Assign instructors or delivery personnel if required.
- Attach any session-specific materials.
- Save changes before enrolling learners.
Editing the Outline on live Events
Caution
Changing session dates or structure after learners have been enrolled may affect communications, attendance tracking, and learner expectations. Confirm the operational impact before changing the schedule of a live Event.
When adjusting a live Event schedule, review:
- learner notifications or reminders
- attendance records
- instructor availability
- venue or resource bookings
Best practices
- Confirm the Outline before opening registration.
- Use the Course Template to manage standard session structures.
- Use the Event Outline to manage real delivery schedules.
- Avoid changing session timing after learners are enrolled whenever possible.
