Overview
The Dashboard aims to provide users with a centralized location where they can easily access and understand the health of their training operation. It will expose and enhance existing information to help users identify issues such as problems with instructors/resources or event management. By offering insight into event readiness, instructor availability, and fill rates, users can make informed decisions about whether events should proceed or be canceled, ultimately optimizing the efficiency and effectiveness of their training programs.
What's included in the Dashboard?
Upcoming Events Widget
This widget enables you to see all events (all learning modes), active and draft, that start in the next 30 days.
Issues are problems with your event. Many of them are available to see on events already but are buried on a tab or behind a modal, this widget surfaces those on the dashboard so you know what needs to be fixed.
- Filterable to only events you are on, either as an instructor or administrator
- Filterable to only events that have issues
- Canceled events are not included
- Enable you to click on the event to go to that event
- The list is scrollable so you can see all the events
What types of issues are being monitored within the widget
- The event/session is missing an instructor (except self-paced).
- The instructor on an event has conflicts (except self-paced)
- The event/session has resource requirements that are not met
- The fill rate is currently below the target fill rate you have configured. (the number of registered learners divided by max places — this issue will not show if max places have not been defined). The Target fill rate by default is set to 50%. You can learn more about configuring it here.
This widget will show you if there are new issues since you last looked, so you can always be on top of what new problems have arisen on events that are soon to be delivered.
Instructor Conflict Widget
This widget alerts you to instructor conflicts for events occurring in the next 30 days and provides tools to resolve them.
- On the left pane, you can see all instructors with conflicts
- On the right, you see each session with an issue for whichever instructor you have highlighted
- To help your understanding, you can click the down arrow on the right to see details for the conflicting event session
- From there, you can resolve the issue one of two ways:
- You can take the system suggestion, which identifies the first available instructor with a matching workplace to the event location.
- Or, you can click to open the “Replace Instructor” modal, which is the very same one you use to select Instructors for your events.
- In both cases, you get a confirmation warning which allows you to send a system-based notification email to inform the removed instructor of the change.
- The Instructor Removed email lives on your communications templates page.
- Once the replacement is confirmed, a brief green checkmark informs you the change has gone through, and then the conflict disappears from the list
My Tasks Widget
This widget will show you a handful of tasks assigned to you, it will:
- Be ordered by the due date, closest first (if your due date has passed it will show those first)
- Show the title, the entity the task is assigned to, like an event, and the due date and status
- It will show overdue tasks, in progress, and not started
- It will also link you to the individual task on the entity it is assigned to
- It will link you to your full task list
Announcements
This widget will give Admins the ability to set an company-wide message, which can be anything you want, though it is typically best used for frequently accessed team reports, documents, and external links to other tools you often need frequent access to.
FAQ
-
Is the dashboard customizable?
- Not right now. We aim to ensure the dashboard is intuitive and effective before considering additional features like customization. The primary focus is to provide users with a streamlined solution that solves their day-to-day tasks, reduces manual work, and helps them effortlessly stay on top of their training administration.
-
Is there a way to filter the dashboard widgets?
- Some widgets include filtering, like reducing the event widget to only events that are assigned to you. We will listen to feedback to identify if there is a need for additional filtering. We aim to make sure the information is the most relevant for the user looking at it, while also keeping a reasonable balance of interface components to not overload the page
-
The number of “New Issues” says 5 but only 2 events are highlighted
- That is correct. We are counting the number of issues, not the number of Events that have issues. So if you have 1 event that has 5 issues (instructors missing from all 4 sessions, 1 required resource not defined) these would show up as 5 issues.
-
Can users disable warnings or issues they don’t want to see?
- Currently, users cannot disable warnings or issues they find irrelevant. However, this functionality may be considered for implementation in the future.
-
Where are the widgets from the old dashboard?
-
Upcoming Public/Private Events: Splitting public and private events into separate widgets isn’t something we wanted to continue. The functionality of both can be found on the current Upcoming Events widget.
-
Xero Status: This widget was created when there were fewer integrations and most users would be using Xero - this is no longer true and many use a number of different finance tools and it didn’t make sense for us to single out the Xero integration for a spot on the dashboard. You can still access the information by going to Control Panel > Integrations > Xero Integration
-
My Tasks: My tasks, with the same functionality, can be found on the current dashboard.
-
Website Orders: This has been removed as it is already deprecated for many users and we are in the process of transitioning others to Opportunities instead, so we have removed that widget now with the new Dashboard.
-
What Our Customers are Saying: We want the dashboard to focus on key information that is most relevant to you and your training operations, and this widget didn’t support that focus, so we have removed it.
-
New Course Feed: We have removed this widget as it offered little value to our users, typically we found it was more useful to understand recent changes rather than have a record on the dashboard of when some new courses were created.
-
Setup Checklist: With a full implementation process and Administrate Learning Campus, our training and tools are already very comprehensive, so we removed this widget as we felt it didn’t add any extra value.
-
Twitter Feed: We have removed this widget as it wasn’t giving our users much value, if you’d like to keep up to date with what is happening on X (formerly Twitter) you can follow our account @GetAdministrate for general updates and announcements.
