Private Events will be supported in the Booking and Student Portals
This feature will be available tomorrow on Tuesday, May 13th, 2025.
Why did we build this?
Private Events are a core part of how many training organizations work, especially in B2B learning environments. These are customized training sessions tailored for a specific customer or a group of customers or internal audience and are not open to the general public.
Managing Private Events requires coordination across multiple teams. A typical workflow looked like this:
- Sales closes the deal with the client
- Details get handed off to an events or operations team
- That team creates the training event
- Learners get booked gradually, often via email or spreadsheet, as the customer sends names over time.
This process was slow, fragmented, and created operational bottlenecks, especially since customers don't always know exactly who will attend the training at the time of sale. Names trickle in, and teams scramble to get everyone registered.
How does it work?
Now, customers can start adding their learners right from the start through the Booking Portal.
- Coordinators (Like L&D managers) can log in and register their learners directly.
- Learners can even self-register, provided they are the target audience for the private training.

Other Updates
- Added input validation to Datetime fields in the Schedule tab of Course Templates to prevent invalid entries.
- Added a banner to the Event Communications tab displaying the time of the next Priority Triggers run.
Defects Resolved

Fixed an issue that sometimes prevented editing the quantity of event line items on draft Invoices.
- We fixed an issue where the Can Self Checkout by Invoice field was missing from Account records.
- Improved the learner groups API so student counts in the AdHoc email modal are no longer limited to 50 and now reflect the full group selection.

Added a new learnerStats query to retrieve learner status statistics across events.

A new Contact filter called hasAncestorAccountId has been added to Core GraphQL which returns a list of Contacts who are a descendant of the provided Account.
A new parameter has been added to the WebLink API coordinatorManagedContacts query called eventId. Given a Private Event ID, it will return only Contacts who are a descendant of the Account of the Private Event provided.
Defects Resolved
- We fixed an issue where making changes to Sessions in GraphQL would not update the Start or End dates for its parent Event in the Reporting Engine.
