Tasks
Tasks are reminders or appointments used to help you manage your Accounts, Contacts, Events, Opportunities, Debtors or personal items. Tasks can be created by all system users and assigned to any other system users within their Company.
Each Task has as Type, e.g. Call, Email, Meeting. These Types are shared amongst all Companies if you’re an Enterprise subscriber and can be used for reporting. You can manage your Task Types in the Control Panel .
Administrate reminds you of your outstanding Tasks with the Homepage Gadget, Task List and Daily Task Reminder Emails.
Tasks may either be simple reminders where a task is due at a date and a time or alternatively displayed as an appointment on your calendar with a start and end time.
Create
- Navigate to the account, contact, event or opportunity page and click ‘New’ next to the task table.
- Complete the fields required in addition if selecting ‘Show on Calendar’ enter the End Date and End Time.
- ‘Notify this User’ will send an email notification to the User selected. You can enter an extended message here and choose to copy other recipients.
- ‘Credit Control’ will add the task to your Credit Control Report. Useful if you require reminders to collect payments.
- Click ‘Save’.
Note: To create a task that is not linked to a record within Administrate e.g. for personal reminders click on your user icon and select ‘My Tasks’ then ‘New Task’. Complete the process as outlined above.
Edit
- Recall the task from your task list or from the account, contact, event or opportunity page and click on the date.
- Update the task details as required. To mark a task as ‘Completed’ therefore removing the task from your task list update the status. Alternatively click ‘Complete & New’ if you wish to mark the original task as completed and create a new task as a follow up.
- Click ‘Save’.
Delete
- Recall the task from your task list or from the account, contact, event or opportunity page and click on the date.
- Click ‘Delete’.
Reporting
There are various tools available to help you to report on your tasks. These are:
- Filtered Reports - Allows you to apply complex queries to your list of accounts and contacts with related tasks and export the data fields that you require.
- My Tasks - Click the User Icon and select ‘My Tasks’. This will list all of your outstanding tasks.
- My Tasks Homepage Gadget - From your homepage you can view the next 7 tasks due.
Important Security Notes
To restrict users to only view their own task list in ‘My Tasks’ ensure the ‘Tasks View All - View’ permission is not granted.
