Purpose: Use this article to understand what can be changed on a booking, when changes are allowed, and what to do when edits or cancellation are restricted.
For the broader booking workflow, see Managing Bookings. For status behavior, see Managing Booking Status.
Editing a booking
In most setups, you can edit booking details before the booking starts. What you can change depends on permissions, timing, and linked records such as invoices or attendance.
- Edit booking details such as dates, attendees, pricing, or resources when the booking is still in progress and not financially locked.
- If you do not see an edit option, check your role permissions.
- If changes do not save, confirm the booking is not locked by invoices or attendance tracking.
Cancelling a booking
Cancelling a booking prevents it from taking place as planned. Depending on your setup, cancellation may keep related records such as financial history.
- Cancellation may be restricted if invoices are unpaid or locked.
- Cancellation may be restricted if attendance tracking has begun.
- Some bookings may require a cancel-and-recreate approach depending on timing and configuration.
Edge cases and exceptions
Invoice locks can restrict edits and cancellation
- If a linked invoice is locked, important booking fields may become read-only.
- If cancellation is blocked, resolve the invoice state first according to your organization’s finance process.
Attendance tracking can restrict changes
- If attendance tracking has started, changing dates, times, or core booking details may be restricted.
- If you need to correct a booking after attendance has begun, follow your organization’s process, such as creating a replacement booking or correcting attendance records first.
Legacy-created bookings may behave differently
- Bookings created through legacy flows, such as from a Sales Opportunity, may enforce stricter locking after confirmation.
- Status changes and editability may depend on linked legacy records in addition to booking actions.
When something does not look right
- If you cannot edit a booking, check timing, permissions, invoice state, and attendance state.
- If you cannot cancel a booking, check invoice locks and whether attendance has begun.
