I agree, as a training provider with over 15 trainers, this really needs adding as soon as possible, I really surprised that it is not already part of the system and this causes me an untold amount of headaches

Administrate - is this something you can implement please?

Or can you please tell me how we can send emails such as 'save the date - diary requests/confirmations' to instructors when an event has been 'set up'.

    Thanks,

    Lindsey

    Hi Lindsey,

We setup a communication trigger to work on all events that send an email to the instructors once they are registered to an event. As we add our tutors on creating an event this essentially sends an email straight away.

We've customised the email to include the course details, start dates, location and any relevant attachments.

    Hope this helps

    Hi Paul,
I really appreciate you taking the time to share this with me. I believe this could very well be our solution, thank you - I'll try this in the morning.
    Thanks again - Lindsey

Hi Bill - try the suggestion Paul Almond has made above. I think this is what we're actually meant to do. It's worked a treat for us - thank you again Paul.

Ah okm sounds good, does this mean that if we set the trigger to all events and on registration for Instructors it effectively considers a trainer as being registered like a student

    Hi Bill,

My understanding is that it separates staff from students but uses the same format.

I.e you set the template to only work on staff but it's the same method of creating a template.

I've used an abbreviation naming convention that separates our staff triggers from students and also from scheduled triggers for our reports. This way you can filter on the communication triggers.

It's worked great for us so far! Hope it helps you out

    Hi Paul.....

Is there any chance you could if you have time send me either a return message or an email ( mike.gibbons@elas.uk.com ) outlining how to set up the trigger for this please, IT is not my forte, so I find I can do these things with instructions, or pass it on to our IT dept, but they also need instructions as they do not understand Administrate,

    Thanks in Advance

    Mike

    Hi Mike,

    Apologies for the late reply.

I have attached a screen shot of the configuration we use to send automated tutor bookings.

The fields that will be different From field and Template.

I have also attached the template we use.

    Hope this is of help.

We are actually looking for the ability to "offer" a training assignment to an instructor. We have over 650+ instructors located all over the US and it is impractical to offer the class to all of them if we are only looking to use a small subset of those instructors (generally within 100 miles of our client). From the offering we would like for the instructor to be able to "accept" or "decline" the class offering.

being able to notify the trainer as soon as the event is added and adding it to their calendar would be great.

    Hi Paul,

    Thanks for stepping in here.

Indeed, creating a Communication Trigger with the Audience Set to Instructors with the trigger set to 'On Registration' will email the instructor within 5 minutes of them being added to an event.

We'll include an ICS attachment too so that they can add the event to their calendar if they're not already syncing their calendar with Administrate.
