More options when cancelling events

    I'd like to take another step and actually have the ability to specify cancellation reason.

    Due to not being able to delete events we have no method of distinguishing between an actual cancelled event (i.e due to lack of numbers) against an event that has been created with an error (wrong course template or perhaps wrong company). There is the draft function but it doesn't cover every scenario.

    What I'm concerned about here is being able to produce a business report looking at cancellation rates. If we include errors this report becomes innacurate. I understand there is a need to protect data integrity and that is the main reason behind the removal of the ability to delete events but it does present the above problem.

    Yes, I agree with that - a dropdown menu that can be configured in the control panels with the options we each want. Currently we put in the notes why it was cancelled but to have that fixed in a dropdown that would be easily read by reports would be great.

    More options included when a program does not run, a drop down menu that would include Sold Out, Closed, Postponed , Cancelled.

    Being able to pull Sold Out, Closed or Postponed to our website would be more accurate for the participant wanting to register for a particular program.

    I agree - I think having more options than a combined Postponed/Cancelled box would be more accurate and allow us to update our website with better information for our customers.

    I agree with the suggestion Paul has made too. Sometimes events are postponed or created in error and the current set up for these types of situations, don't accommodate.

    Yes, having options beyond "cancelled" would be ideal. We sometimes need to postpone courses, and we also need to close registration for a course a week out when we are needing to print and ship materials to remote locations. Having the ability to distinguish between these would be great. This would allow 'cancelled', 'closed', 'sold out' or 'postponed' to be pulled to our website, but it will also allow us to generate more accurate reports at year-end.

    Adding to this thread in agreement, that when cancelling an event, we shouldn't have to take multiple extra steps to remove resources and instructors. Especially if the resources are applied at the sessions level (which has a better view on the calendar, so is preferred), we then need to go into each individual session and remove each individual resource. If the event is 5 sessions with 3 resources, that equals 15 manual steps to remove the resources.

    Bumping this thread for a few reasons:

    1) Just had an issue with a client where we needed to charge cancellation fees for a couple of events that were cancelled late. There is no way in ADM to tell between an event which has been cancelled and still needs to be charged and one that has been cancelled but shouldn't be charged, so when we pull up reports we have to manually look through notes to find out. This is terrible for us if we want to look at stats on cancelled events - we cannot use ADM reports to do this because we cannot tell the difference between a provisional booking that wasn't taken, an event that was entered wrongly, an event that was cancelled with no cancellation fee and one which was cancelled with a cancellation fee. At least in the old system we could delete the first two types of events to reduce this confusion

     

    2) I am spending so much time removing resources one by one from cancelled events, it is currently probably the most annoyingly time consuming, fiddly operation in ADM for me, regularly removing 10-30 resources one by one from cancelled events. Really who has a cancelled event that still needs the resources booked? This should be a tickbox option but at least please give us a dialogue box from the setup/parent tab that allows us to remove all resource bookings or is like the one for sessions with Xs that we can just hit one by one without needing to go through dialogue boxes for every single resource.

    Hi Tom,

    Completely agree with your points here. In the end our only solution was to create our own deletion code and run it through an external server using REST API. That was the only way we could efficiently remove resources and delete events that should not have been booked.

    I understand the risk relating to deleting events if objects are still linked but I don't see why the interface would not be able to prompt the user to ensure the relevant relations are removed before deletion.

    Yes, absolutely - and if ADM don't want to let us delete events, then giving us a drop down where we can define the reason why an event was cancelled would work for reports as it would let us easily and accurately define which types of cancellations we want to see.
