Job Roles
A job role is a function a contact fills within your organization. Contacts are assigned Job Roles to improve reporting and easier filtering on the type of training required for different job roles. Adding Job Roles into a structured list also helps prevent typos and inconsistencies. You can use this functionality in tandem with Automatic Registration to automate the Learning Paths certain Job Roles should be automatically registered onto.
This control panel setting, Job Roles, is where you define the roles you would like to assign to your contacts. Any changes you make here are reflected in your Contacts' screen when assigning a Primary Job Role or on the Job Roles table.
Creating a Job Role
- Click the blue Add Job Role button to open a dialog box.
- Name your Job Role.
- Click OK.
Your new Job Role will now be shown as created on the table of Job Roles.
Editing a Job Role
- Click on the row of the Job Role you wish to edit or click on the three dots at the end of the row and select Edit to open a dialog box.
- Rename your Job Role.
- Click OK.
Your Job Role will now be updated with the new name on the table of Job Roles.
Selecting a Default Job Role
When creating a new contact, if you do not select a primary job role, the default Job Role will be used on that contact. If you do not want to have a specific job role, please create a placeholder job role set as your default. The Job Role can be changed on the Contact at any time from the Job Roles table on the Contact.
- Click on the three dots at the end of the row of the Job Role you wish to set as default and select Make Default to open the "Are You Sure" confirmation dialog box.
- Click OK on the dialog box (or Cancel if you don’t wish to continue with setting the default).
Your Job Role will now be updated with a Default label on the table of Job Roles.
Deleting a Job Role
Only Job Roles that have not been assigned to any contacts can be deleted.
- Click on the three dots at the end of the row of the Job Role you wish to delete to open the "Are You Sure" confirmation dialog box.
- Click OK on the dialog box (or Cancel if you don’t wish to continue with the deletion).
Your Job Role will now be removed from the table of Job Roles.
