Training Tokens are pre-paid units that can be issued to Accounts and redeemed for training at a later date. They function similarly to a currency, allowing customers to purchase training in advance and consume it over time.
Tokens are managed at the Account level and can be used for event registration, depending on how your system is configured.

What Training Tokens are
Training Tokens are vouchers that can be redeemed for training. They are issued to Accounts and tracked as a balance that can be consumed over time.
Tokens are segmented by type and behave similarly to a unit of currency when applied to training purchases.
To use tokens during checkout, see Pay by Tokens.
Training Token Types
Token Types allow you to define different categories of tokens, such as “Gold” or “Silver”, which can be used to segment your training offering.
Multiple token types can also be used to restrict which training offerings can be redeemed, allowing organizations to segment high-value and low-value training catalogs.
Each Token Type can:
- have a unique name used when displaying prices
- include an optional description (shown on invoices)
- define a default redemption period (expiry duration)
Token Types can be managed in the Control Panel under Training Tokens.
For detailed setup instructions, see Training Token Types.
Expiry and redemption periods
Each token type can define a redemption period, which determines how long tokens remain valid after they are issued.
When tokens expire:
- any remaining balance is automatically set to zero
- expired tokens can no longer be redeemed for training
How tokens are used
Tokens are issued to Accounts and stored as a balance. When redeemed, the system deducts tokens from that balance.
If multiple token issues exist for an Account, tokens are consumed using a first-in, first-out approach based on expiry.
In most cases, tokens with the earliest expiry date are used first.
Tokens can be redeemed:
- during event registration
- via API or automated workflows
Token settings
The Settings tab in the Training Tokens Control Panel allows you to configure how tokens are issued and managed.
Allow Manual Raising of Issues
- When disabled, tokens cannot be issued directly through the CRM.
- Tokens must instead be created via workflows such as bookings.
- This ensures token issuance is tied to auditable transactions.
Allow Adjustments to Token Issues
- When disabled, manual balance adjustments are not permitted.
- Adjustments must be made through structured processes such as refunds or additional sales.
FAQs
Q: How are training tokens used up?
Tokens are consumed from the Account balance based on expiry order. Tokens that expire sooner are used first.
Q: Why create multiple token types?
Multiple token types allow you to segment your offering, such as differentiating between high-value and low-value courses.
Q: What happens when tokens expire?
Any unused balance is automatically removed, and expired tokens can no longer be redeemed.
Q: Can I extend tokens before they expire?
Yes. You can update the expiry date on token issues where supported.
