Promotional Campaigns
Note: these campaigns currently only work with WebLink 2.0. If you have a custom web integration using our GraphQL API and would like to use this feature, please use our Developer Portal.
Promotions within Administrate allow you to create marketing campaigns which you can track the success and usage of throughout their validity.
For example, we would like to create a marketing campaign around a series of new Courses we are promoting. We can now create a unique code that restricts it to my new Courses. Further to that, we can put minimum order restrictions and validity dates so it auto-expires, reducing your admin time. You can even set the amount of uses a code can have, meaning you are in full control of how much discount you are giving away over the lifetime of your campaign.
Of course, all of this is heavily exposed to our reporting engine, so you can interrogate what worked, and what didn't, and plan accordingly.
Let's check out how to create some different Promotional Campaigns.
You can access Promotions via the Control panel
% discount
e.g., I want to give a 10% discount to my customers for their entire basket total
In the above, you can see I am able to configure:
- The name of the Promotion
- When it is valid from, and when it expires
- Choose my Discount Type as %
- Set the % value
- Give a Maximum Discount Value
- With this set, I can say that any purchases over £200 will not have the discount applied. It is a good idea to call this out in your terms and conditions if you use this feature.
- This will take the base currency of your instance
- I have also set this to apply to all products with no order requirements (see the section below for more details)
Flat Rate Discounts
e.g., I want to give a monetary discount
For Flat rate discounts, the same rules as % apply when setting them up, the only difference is you select Discount Type – Fixed and you can not set a Maximum Discount Value.
Buy X Get Y
e.g., I want to give a number of free seats away when a customer buys a certain number of seats
For Buy X Get Y, You can decide to give away free seats to customers when they purchase a certain number of seats. Further to this, you can limit the amount of free seats you give away, and you can decide if the free seats can only be used on the same event or not.
In the example above if the customer buys 4 seats, they will get 2 free. But note how I've put a Max Seats Given of 2. This means that if the customer buys 12 seats, they would still only be given 4 free seats. I've also restricted the free seats to the same event.
Configurable Restrictions
It is common to only want to make your promotions available to be used on certain Courses, Events, or Learning Paths, so this is where you can set this up.
Specific Products
This is the section where you decide what your Promotion campaign will apply to
- Click Type
- This enables you to choose what the Promotion will apply to. The options are:
- Course
- Location
- Event
- Category
- Associated Account
- Learning Path
- Course Custom Field
- Note that you can add as many rules here as you like. In the example below, I have chosen Courses and Locations.

Order Requirements – only applies to Flat Rate & % Promotions
Once you have decided on what rules the Promotion applies to, you can then set some Order Requirements. This is where you can define what else must be included in an order for the discount to be applied. Your options here are:

Min Order Value
- The minimum total of the basket that must be reached before the Code will work
- Course
- Location
- Event
- Category
- Associated Account
- For this to work, you must have an Account Association set up on the Course Template or Learning Paths you would like to be part of your promotion
- Learning Path
- Course Custom Field
Codes
Having created a Promotion, I can now create the codes.
In this section, I have the ability to:
- Set the amount of uses for my code (unlimited vs a set amount)
- Set amount of codes
- This may be of use if you want a specific code under the same promotion to be sent to a specific Account or to be used in a specific region
- Give it a prefix (if you do not, the system will generate a unique random code for you)
- Set the
- Once I have created my codes, I can edit or deactivate them
- Editing the name is particularly helpful if you want to rename the system-generated code. For example, I can rename SUMMERAI to SUMMER10
Reporting on Promotions
Promotions and the codes are exposed throughout the reporting system, including sales opportunities, to enable you to report in detail on the success of your campaign.
The above report under the Discount Promotion Code entity is showing me all my Codes and Promotions. I can also see how many sales opportunities these have been applied to, along with the total value of the sale vs the amount of discount given.
You can export the Codes from a specific Promotion directly to .CSV format from the user interface in 2 different ways.

Is this feature different from the Promo Codes feature?
A: Yes, this feature is different from the Promo Codes feature. We'd say it's an upgrade! However, it's only available on Weblink 2.0 at the moment.
At what time of the day does a promotion expire on the date set?
A: An active promotion expires at the end of the day (i.e., 11:59 PM/23:59 Hrs) on the expiry date set.
