Coming Tomorrow, September 2, you'll be able to sync Google Calendars with Administrate. Alongside Outlook, this means instructor availability stays accurate no matter which calendar system they use. Admins don’t need to think about Google vs. Outlook - scheduling, conflict checks, and updates all work the same.
Why Availability Matters
Administrate helps large enterprises manage the logistics of in-person training. From planning sessions to booking instructors and facilities, our platform reduces the manual work that slows training teams down.
One of the biggest challenges has always been resource availability (instructors, rooms, labs, equipment, etc.). Training teams need to know when instructors are free, where they’re located, and whether they’re qualified, all without juggling spreadsheets, emails, or multiple calendars. Missed updates can mean double-bookings, last-minute cancellations, or wasted resources.
That’s why we built calendar sync.
Expanding Calendar Integration
Administrate already integrates with Outlook calendars, giving training teams real-time visibility into instructor availability as well as resources such as Rooms. Now we’ve added support for Google Calendar too.
This update means your organization can work with either calendar system, and instructors can connect the calendar they already use, without adding extra steps for admins.
From the Administrator’s Perspective: Nothing Changes
For admins, scheduling works the same way:
Invite instructors.
See conflicts and availability in real time.
Schedule with confidence.
It doesn’t matter if the instructor connected Outlook or Google. Administrate handles the sync in the background.
From the Instructor’s Perspective: A Simple Connection
Instructors receive a one-time invite to connect their calendar.
They:
Pick Google or Outlook.
Set a privacy mode (share only “busy” status or more details).
Sign in. Done.
From then on, their availability updates automatically. If they’re away on holiday, off sick, or busy with another commitment, all they need to do is update their own calendar. No spreadsheets. No separate apps.

Once linked, everything stays in sync:
Admins book an instructor → the booking appears instantly in their calendar.
Schedules change → updates push automatically.
Admins swap instructors → calendars update without delay.

Defects Resolved
- We resolved an issue in the Communication Template editor where the Merge Fields selector could freeze, especially when adding related details like course schedules.
- Resolved an issue in Account merge where receipts and credit notes from the “From” account didn’t appear in the “To” account’s financials tab.
