New Features
Calendar Sync - Instructors Sync O365
We've launched our Calendar Sync Office 365 (Beta) feature. With this addition, users can easily synchronize instructors' calendars, specifically those on Office 365, with Administrate. This will provide your team with complete visibility of your team’s availability and ensure your instructors remain up-to-date with their booking changes and updates.

WebLink now supports analytics and Google Tag Manager
We are excited to announce extended support for Analytics on WebLink, allowing you to capture and pass event data to your analytics tools.
For Hosted WebLink or Hosted Checkout Users:
You'll need a Google Tag Manager account to capture analytics event data. Once configured for your WebLink Portal, you can create tags and start capturing event data.
For WebLink Widget Users:
You can leverage the event data passed to the data layer and relay this to your preferred analytics tools or tag management systems.

Instructor Conflict Widget
Instructor conflicts have been a major pain point, occurring frequently and often impacting multiple events simultaneously, such as in cases of sick leave, or a training reschedule. Assuming the admins could identify the problem at the right time - another call out this feature simplifies - It is the usual drill of running reports, and manually updating each event which is a time sink and a dull task.
Enter, the Instructor Conflict Widget feature making it super easy and quick:
- This widget alerts users to instructor conflicts for events occurring in the next 30 days and provides tools to quickly resolve them.
- Admins will stay on top of their game by staying up-to-date and don't have to hunt for issues.
- Admins have decision support available to provide quick alternatives to replace instructors who can no longer deliver training by suggesting alternatives
- This makes finding & resolving issues with instructors 10 times faster.
Product Updates
Scheduler
Previously, using the Scheduler's automatic solve capability may result in plans that weren't ideal or didn't meet your training needs. Now, with constraints customized to fit your business requirements, the solver generates plans that closely align with your expectations, achieving significantly higher accuracy.
We've added and enhanced constraints such as ensuring Events are evenly distributed across your training plan cycle, and setting preferred days for training to start. Additionally, we've improved how resources are utilized and booked by the solver, maximizing efficiency and ensuring optimal resource allocation across all scheduled events.

Training Dashboard - Fill Rate Configuration
By enabling you to set global defaults for fill rates, this feature ensures your Training Dashboard highlights events that need more attention, such as those requiring increased marketing efforts to drive learner registration. It also aids in making informed go/no-go decisions based on current fill rates. This improvement helps you efficiently manage your events, ensuring they receive the necessary focus to achieve their target attendance.
The Fill Rate Configuration feature on the Course Configuration page allows you to set global defaults for target fill rates for courses in addition to setting Event level configuration. This streamlines the process of setting suggested fill rates when creating Course Templates, ensuring consistency and efficiency in event planning.

Instructor Assignments on Events and Sessions
Previously, assigning instructors to events was a time-consuming task, requiring you to search for instructors or select from a list without clear visibility of their availability. This often led to trial and error, further complicating the process.
With the new feature, availability information is presented upfront. You'll immediately see who is available, who is not, and the reasons behind their unavailability. Additionally, if an instructor has Calendar Sync connected, their events or calendar entries will also be visible. This enhancement reduces the hassle and improves efficiency, ensuring you can assign instructors quickly and accurately.
WebLink
We have added further configuration options that can be accessed from the WebLink Portal Configuration screen.
Users now can adjust additional settings for their portal via the Control Panel > Portals, where they can customize various options such as:
- Changing or modifying the Learning Categories assigned to their portal
- Changing the Region
- Changing the Currency
- Set your Google Tag Manager

What's Next
Exciting things are on the horizon! We're expanding Calendar Sync to include Resource Calendars on O365, making it easier to keep all bookings up-to-date within Administrate; enhancing Document Templates and Customizable Sign-in Sheets to provide more intuitive tools and formatting options to simplify building these attendance sheets, evaluation forms, and sign-in sheets; and refining Event Management and Calendar View for a more streamlined scheduling experience.
